Many activity providers run different schedules depending on the time of year — more sessions in summer, reduced availability in winter, and closures over holidays. Sailia gives you the tools to manage these changes without recreating activities from scratch.

Managing seasonal changes

Adjusting session schedules

When your schedule changes between seasons, update the recurring session times on your existing activities rather than creating new ones:

Open the activity

Navigate to the activity you want to update.

Edit the schedule

Modify the session times, days, or frequency to reflect the new season. Add new time slots or remove ones that no longer apply.

Save changes

Save the updated schedule. Future sessions reflect the new times while past bookings remain unchanged.
Update your schedule well in advance of the season change so returning customers can book early. Pair schedule updates with a marketing email via automated workflows to announce the new timetable.

Holiday closures

For planned closures (bank holidays, Christmas, maintenance days), remove or cancel the specific sessions rather than deactivating the entire activity:
  1. Open the activity’s schedule view in your bookings dashboard.
  2. Find the session on the closure date.
  3. Cancel the session. If customers have already booked, process cancellations and refunds as needed.
Cancelling individual sessions frees up the capacity and notifies any waitlisted customers that the session is no longer running.

Seasonal pricing

Adjust pricing for peak and off-peak periods using discount codes:

Seasonal activity passes

If you offer activity passes, consider creating seasonal variants:
  • A summer pass with an expiry date at the end of the season
  • A winter pass with different eligible activities
  • A term pass aligned with school terms
Set the expiry on each pass to match the season end date so passes automatically become invalid when the season is over.

Preparing for a new season

Use this checklist when transitioning between seasons:
  • Update activity schedules with new session times and days
  • Adjust pricing if you use seasonal rates
  • Create or update seasonal discount codes
  • Review staff assignments — add seasonal staff or update existing assignments
  • Update your booking page description if it references specific dates or times
  • Send a marketing email announcing the new schedule via workflows or a newsletter campaign
  • Check waitlists — notify customers about new availability for popular activities
